FAQ – Canterbury After School Program

1. What are the office hours for the Canterbury After School Program?

Our office hours are Monday to Friday from 1:00 p.m. to 6:00 p.m.

2. What are the program hours for the Canterbury After School Program?

The program runs Monday to Friday from 2:30 p.m. to 5:30 p.m.

3. Is the program suitable for children with special needs?

Our staff is not trained to provide 1:1 care for children with special needs. If your child is 1:1 in their schooling environment, we cannot support them in a 1:1 capacity at the after-school program. The child-to-staff ratio is 1:10.

4. What is the cost of the Canterbury After School Program?

The monthly fee is $250, though the price is subject to change for the 2025/2026 school year (September through June).

5. How do I make payments for the program?

You can pay through:

  • 10 post-dated cheques, dated for the first of each month.
  • Pre-Authorized Debits (PADs). Fill out the PAD form and submit it to afterschool@cca-acc.ca.

6. What happens if a payment is returned due to insufficient funds?

If two NSF cheques are received, cheques will no longer be accepted. You will need to switch to a credit card or PAD. A $30 NSF fee will apply for each NSF cheque or bounced PAD.

7. What is the withdrawal policy for the program?

We require a written notice of one calendar month to withdraw from the program. If you do not provide this, your withdrawal date will be one month from when the email is received. For example, if you withdraw on March 21, the withdrawal date will be April 30.

8. What should my child wear to the program?

Children must have indoor shoes at the program from mid-October to late May. Shoes should be labeled with the child’s first and last name. If indoor shoes are not brought, a $5 monthly fee will be applied starting November 1st.

9. What should I do if my child will be absent?

Notify the CCA office by 2:00 p.m. if your child will be absent, by calling 613-415-0672 or emailing afterschool@cca-acc.ca. Failing to do so will result in a $10 charge.

10. What happens if I am late picking up my child?

If you arrive after 5:30 p.m., you will be asked to sign a late pick-up log. Repeated lateness will result in financial penalties: the third late pick-up will incur a $50 fee.

11. What should I do if someone else is picking up my child?

Please email afterschool@cca-acc.ca to inform us if someone else will be picking up your child.

12. Does the program allow for medication?

Yes, parents must fill out a Medication Administration Request Form for any required medication. Medication should be in its original packaging and labeled with the child’s name, dosage, and instructions.

13. How does the program handle allergies?

CCA makes efforts to maintain a nut-free environment but cannot guarantee it. Parents of children with allergies must inform us during registration. Children with life-threatening allergies must have an EPIPEN or similar device at all times.

14. How does the program handle injuries?

All staff are certified in First Aid and CPR. In case of an injury, staff will complete a First Aid Treatment Form, and parents will be notified. Serious injuries may require immediate hospital treatment.

15. Can my child attend the program if they are sick?

Children exhibiting symptoms such as fever, vomiting, or diarrhea should not attend the program. If symptoms develop during the program, parents will be notified to pick up their child immediately.

16. What is the program’s policy on bullying and violent behavior?

The program has a zero-tolerance policy for bullying and violent behaviors. If a child exhibits these behaviors, a behavioral report will be filed, and a meeting with the parent will be required. After three reports, the child may be removed from the program.

17. How does the program handle extreme weather conditions?

In cases of extreme cold (wind chill of -25 or colder) or heat (humidex of 36 or higher), children will remain indoors for activities. Parents are encouraged to ensure children wear appropriate clothing and stay hydrated.

18. Can my child bring toys or trading items to the program?

The program has a strict no-trading policy. Children should not bring items like Pokémon cards, Yo-Yos, or fidget spinners. Please remind your child to leave these items at home.

19. What is the Lost and Found policy?

Lost items are stored in the Canterbury Community Centre’s front atrium. Items left unclaimed for 2-3 weeks will be discarded, and lunch bags left in the lost and found will be thrown out after one week.

20. Can my child’s photo be taken at the program?

We sometimes take photos of the children during the program. If you do not wish for your child to be photographed, please complete the publicity consent form during registration.

21. Do the kids get to eat a snack at the program?

Yes, the kids eat a snack when they arrive from school. Snack is provided by the parents.

22. How are emergency procedures handled?

Staff are trained in emergency procedures, including monthly fire drills. In the case of evacuation, parents will be contacted and must pick up their children at the designated evacuation area.
